1. Who We Are
TaxSort: Receipt, Mileage & Deduction Tracker is a mobile application developed for North American small business owners to track receipts, mileage, and tax deductions. This policy explains how we handle your data.
2. What Data We Collect
When you use TaxSort, we collect:
- Your email address and account credentials (via Google Sign-In or email/password)
- Transaction data you import from bank statements or enter manually
- Receipt images you upload or photograph within the app
- Business name and preferences you configure in the app
- Location data (GPS coordinates) when you enable the mileage tracking feature — including trip start/end points and route waypoints
3. How We Use Your Data
Your data is used solely to provide the TaxSort service:
- Transaction and receipt data is stored securely in your personal account on Google Firebase (Firestore and Cloud Storage)
- Receipt images and bank statement pages may be sent to Google Gemini AI for text extraction and categorization. This data is processed to identify vendor names, amounts, and dates — it is not used to train AI models
- Location data is used exclusively to detect and record business drives for mileage tax deduction purposes. GPS tracking only activates when you enable mileage tracking — it is off by default. Location data is never used for advertising or shared with third parties
- We do not sell, rent, or share your personal data with any third parties for marketing purposes
4. Data Storage and Security
- All data is stored on Google Firebase infrastructure, protected by Firebase Security Rules
- Only you can access your own data — other users cannot view your transactions, receipts, or location data
- Firebase App Check is enabled to prevent unauthorized API access
5. Location & Mileage Tracking
- Location access is entirely optional and must be explicitly enabled by the user
- When enabled, the app uses GPS in the background to automatically detect and log business drives
- Trip distance, start/end coordinates, and route waypoints are stored in your private Firebase account
- You can disable location tracking at any time from within the app
- You can delete all mileage history using the "Clear History" option in the Mileage tab
6. In-App Purchases
TaxSort offers optional premium features via in-app subscription. Purchases are processed by Google Play or the App Store and managed through RevenueCat. We do not store your payment information.
7. Data Retention and Deletion
- Your data remains stored as long as your account is active
- You can delete all your transaction data at any time from within the app using the "Wipe All Data" option
- You can delete all mileage history from the Mileage tab at any time
- To permanently delete your account and all associated data, contact us at the email below
8. Changes to This Policy
We may update this policy from time to time. Any changes will be posted on this page with an updated date.
